Overview

California State University, Monterey Bay is primarily an undergraduate institution that provides more than 5,700 students an extraordinary opportunity to learn on a residential campus just one mile from the shores of the beautiful Monterey Bay. Founded in 1994 on the former site of Fort Ord by educators and community leaders, Cal State Monterey Bay faculty and staff build on that legacy as they explore innovative ways to meet the needs of a new generation of students while simultaneously powering the Monterey County economy. CSUMB initiated an eRA Systems review to find a more effective solution for their research administration needs.

Challenges

Cal State Monterey Bay had been using a proprietary, vended eRA solution for more than ten years. But, with tripling subscription fees, increasingly diverging development priorities, and standard technical support diminishing, an alternative solution was needed. CSUMB initiated an eRA Systems review to document their current requirements, evaluate alternatives, discover gaps, and obtain estimates from the top-ranked alternatives. In keeping with the university’s IT directive, the Sponsored Programs Office examined cloud-based eRA solutions analogous to their current system’s proposal tracking and proposal development modules. They also looked for solutions that included enhanced reporting, alert capabilities, a user-friendly interface, and robust technical and help desk support.

Solution

The search for a better solution led Cal State Monterey Bay to select cloud-based Kuali Research. Kuali Research provides Cal State Monterey Bay with an affordable, turn-key solution to manage the many tasks involved in sponsored program and compliance management. It also includes added capabilities like out-of-the-box reporting, best practices pre-configuration, deployment services, unlimited user support, and free upgrades. The University will also benefit from alerts, notifications, and other automated reports to meet growing internal demand for reporting. And, they will be able to use system-to-system (S2S) proposal submission to streamline the proposal submission process.

With Kuali Research, we will have the opportunity to improve efficiencies and streamline the many tasks involved with pre-award, post-award, and compliance management including IRB, COI and IACUC. We will also save money by reducing our IT burden and eliminating the need for stand-alone products in other areas or departments.
